LEADSENS TECHNOLOGIES LIMITED operates an alignment room and provides plumb-line surveys, sensor mount alignment, drift monitoring, mount fabrication, settlement watches and retainer calibration. This document sets out, in full, how we treat the personal information entrusted to us by clients, visitors, contractors and suppliers. We have written it to be read without a legal dictionary, because a privacy policy that nobody understands protects nobody. If any section remains unclear after reading, please write to engineering@leadsens.lat and we will explain it in plain terms.
1. Scope of this Policy
This policy covers personal information that we collect through this website, through the course of preparing and delivering our alignment services, and through ordinary business correspondence. It applies to LEADSENS TECHNOLOGIES LIMITED and to every member of the team who handles client information from our premises at Rm 532B 5/F STAR HSE, 3 SALISBURY RD, Tsim Sha Tsui, Hong Kong (HK).
The policy does not cover information that has been fully anonymised so that it can no longer be connected to a living individual. It also does not cover the internal records of our clients, which remain under their own control. Where we act as a processor for a client rather than as the party deciding how information is used, the terms of that engagement and the client own privacy notice take priority over this document.
We do not sell personal information, and we do not trade it for advertising. Any use of information described below serves a defined operational purpose that is set out in this policy in advance.
2. Who Controls Your Information
The organisation responsible for the personal information described in this policy is LEADSENS TECHNOLOGIES LIMITED, a company operating from Rm 532B 5/F STAR HSE, 3 SALISBURY RD, Tsim Sha Tsui, Hong Kong (HK). The developer and operating identity for the website and the services described on it is LeadSens Tech, which acts as the data controller for the purposes of applicable privacy law.
You can reach the person responsible for privacy matters by email at engineering@leadsens.lat or by telephone at +13649105367. Written correspondence may be sent to the postal address above. We aim to acknowledge any privacy enquiry within a small number of working days and to resolve it fully within the period allowed by law.
3. Information We Collect
We collect several kinds of information, and each kind exists because a service cannot be delivered without it. The categories are as follows.
Contact and identity details
Name, company, job title, postal address, email address and telephone number. This information lets us arrange site access, issue quotations, send charts and confirm the person authorised to instruct work.
Project and site details
Descriptions of the premises, the elements to be aligned, access arrangements, drawings, photographs of the site, and the notes our team takes while a job is in progress. This material is essential to produce a meaningful survey and to keep the reference consistent between visits.
Measurement and calibration records
Dot runs, drift charts, torque figures, cradle serials, mount drawings and the dated charts we file on the rail. These records are technical in nature and rarely identify a person on their own, but they may be linked to a client or a named contact.
Financial and accounting details
Billing addresses, purchase order references and payment records. We do not store full payment card numbers on our own systems where a payment processor can hold them instead.
Correspondence
Emails, messages, call notes and any written instructions that pass between us and a client, contractor or supplier. We keep these because they often record the agreed scope of a job.
Website and technical details
Internet protocol address, browser type, device type, referring page and the pages viewed. This information helps us keep the website working and understand which services are being read most often.
4. Where Information Comes From
Most information reaches us directly. You provide it when you complete a form on this website, send an email, call the alignment room, or sign a quotation. Clients provide project details and site access notes, and their contractors sometimes pass on drawings and schedules on the client behalf.
Some information arrives indirectly. Our sensors and measuring instruments produce records during a watch, and those records may reference the premises rather than the people in it. Accounting and banking records may be generated by our financial systems when an invoice is raised or settled. Publicly available registers may be consulted to confirm a company name or a registered address before a contract is prepared.
Where you provide information about another person, for example a colleague who will meet our team on site, you confirm that you have their permission to pass those details to us and that they understand this policy applies to the information we hold about them.
5. Why We Use Information
We use personal information only for purposes that a reasonable person would expect from an alignment practice. Those purposes include preparing quotations, scheduling visits, delivering the six services described on this website, producing and filing drift charts, maintaining the reference on the rail, issuing invoices, keeping accounting records, responding to enquiries, and improving the way the room works.
We also use information to protect the safety of our team and of the people on site, to comply with tax and company law, and to defend or pursue a legal claim if a dispute arises. Where we rely on consent for a particular use, such as sending an occasional update, you may withdraw that consent at any time without affecting the services you have commissioned.
We do not use automated decision making that produces a legal effect about you, and we do not build advertising profiles from the information we hold. Our interest is in keeping brackets true, not in tracking people around the internet.
6. Our Lawful Bases
Depending on where you are and what the information is used for, we rely on one or more of the following lawful bases. Performance of a contract covers the information needed to quote for, deliver and invoice a service. Legitimate interests cover running a functional website, protecting our premises and records, and replying to enquiries that are relevant to our work. Legal obligation covers tax, accounting and company records that the law requires us to keep.
Consent covers optional communications and any situation where we specifically ask for your agreement. Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights, and we limit the information to what the purpose genuinely needs. Where we rely on consent, you can withdraw it easily by writing to the contact address in this policy.
7. Site Visit and Alignment Data
A special word is warranted about the technical records we create. When we survey a frontage or monitor a screen wall, the dot runs and drift charts describe structural behaviour. They are about the building, not about the people who work in it. Even so, a chart may be filed under a client name and linked to a named contact, so we treat these records with the same care as contact details.
Charts are stored in the alignment room and in our secure electronic file store. We keep the datum reference so that future checks can be compared against the same baseline, which is the whole point of a retainer. Where a client asks us to delete a chart, we will do so unless we are required to keep it for a legal or safety reason, and we will explain any such reason in writing.
Photographs taken on site may incidentally capture people or vehicle plates. We keep the framing tight on the elements being aligned, and where a photograph does capture a person we either obtain consent or blur the image before it is filed.
10. Service Providers
We use a small number of service providers to run the practice. These may include a cloud file store, an email host, an accounting platform and a telecommunications provider. Each provider is chosen for reliability and is bound by a contract that limits how they may use the information we pass to them.
We review our providers periodically and remove any that no longer meet our expectations. Where a provider is large enough to process information in several countries, we take the steps described in the next section to protect it in transit and at rest.
11. International Transfers
Hong Kong is our home and most of our records stay here. Some cloud services, however, may store a copy of an email or a file in a data centre in another jurisdiction. Where that happens, we use providers that offer recognised safeguards, and we keep the amount of information transferred to the minimum.
If you would like to know which jurisdictions are involved for a particular engagement, we will tell you on request. We will also tell you what safeguard applies to that transfer, so that you can make an informed decision about working with us.
12. How Long We Keep Information
We keep information only for as long as it is needed for the purpose it was collected, plus any additional period the law requires. In practice this means that project records and drift charts are kept while a client is active and for a reasonable period afterwards, so that a future check can be compared against the original reference. Accounting records are kept for the period required by tax and company law.
Marketing consent records are kept until consent is withdrawn or until the contact has been inactive for a defined period. Website technical logs are kept for a short retention window and then discarded. When a retention period ends, we delete the information securely or, if deletion is not possible, we anonymise it so that it can no longer identify anyone.
13. How We Protect Information
We protect information with a mix of technical and organisational measures. Access to client records is limited to team members who need it for a job. Electronic systems require individual credentials, and portable devices are protected with encryption where they hold client information. Paper charts are filed in a locked cabinet in the alignment room, exactly as a physical reference belongs in a physical room.
We train the team on handling information safely, we review who has access when roles change, and we keep an eye on unusual activity. No system is perfect, so we also maintain a response plan. If a breach affecting personal information occurs, we will investigate promptly and notify affected individuals and any relevant authority as required by law.
14. Your Rights
Subject to the law that applies to you, you may have the right to be informed about how your information is used, to access a copy of it, to have inaccurate information corrected, to have information erased in certain circumstances, to restrict or object to particular uses, to receive information in a portable format, and to withdraw consent where consent is the basis for a use.
You also have the right not to be subject to a decision made solely by automated means. We do not make such decisions, so this right is not engaged by our work, but we mention it for completeness. To exercise any right, write to engineering@leadsens.lat or call +13649105367. We will respond within the period allowed by law and we will not charge a fee unless a request is clearly unfounded or repetitive.
15. Access and Correction Requests
When you ask for a copy of your information, we will first confirm your identity so that we do not release records to the wrong person. We will then gather the information, review it for anything that belongs to someone else, and send it to you in a clear format along with an explanation of how it is used.
If you believe that something we hold is inaccurate, tell us what is wrong and what the correct version should be. We will correct it or, where we disagree, we will record your view alongside the information so that both positions are available to anyone who reads the record. If you ask us to delete information that we are required to keep, we will explain the obligation and the date on which the information can be removed.
16. Marketing Communications
We send occasional updates about winter alignment slots and new services, and we do so only where we have a lawful basis. If you would rather not receive those updates, tell us and we will stop. Every commercial message we send includes a simple way to opt out, and opting out will never affect a job in progress or a retainer arrangement.
We do not sell contact lists and we do not pass addresses to third parties for their own marketing. If you receive a message that claims to come from LEADSENS TECHNOLOGIES LIMITED but does not match this policy, please forward it to engineering@leadsens.lat so that we can investigate.
17. Privacy for Children
Our services are provided to businesses, contractors and property owners, and this website is not directed at children. We do not knowingly collect personal information from a child. If a site photograph or a client record happens to include a minor, we take extra care to limit the information and to remove it on request.
If you believe that we have inadvertently collected information about a child, please contact us at engineering@leadsens.lat or +13649105367 and we will delete it promptly once we have confirmed the situation. We would rather remove a record that is not needed than keep one that should not exist.
18. Third Party Links
This website may link to other sites, such as a mapping service or a professional body. We choose those links with care, but we do not control the sites they lead to and we are not responsible for their privacy practices. When you follow a link away from our site, we encourage you to read the privacy notice of the destination before providing any information.
A link from our site does not imply that we endorse everything on the destination, and it does not mean that the destination shares our approach to information. Our responsibility ends at the edge of our own pages.
19. Changes to this Policy
We review this policy from time to time so that it keeps pace with the way we work and with the law. When we make a change that affects how information is used, we will update the date at the top of the page and, where the change is significant, we will give notice through the website or by direct message to active clients.
Continuing to use our services after a change takes effect means that you accept the updated policy. If you do not accept it, you may contact us to discuss the matter or to close your engagement in an orderly way. We keep previous versions available on request so that you can see what changed and when.
20. Complaints and Contact
If you are unhappy with how we have handled your information, please tell us first so that we can put it right. Write to LEADSENS TECHNOLOGIES LIMITED at Rm 532B 5/F STAR HSE, 3 SALISBURY RD, Tsim Sha Tsui, Hong Kong (HK), email engineering@leadsens.lat, or call +13649105367. We will investigate and respond in writing.
If you remain dissatisfied after our response, you may complain to the privacy regulator that applies to you. We will cooperate fully with any such process. Our goal is simple: to keep the line true, and to keep the trust of everyone whose information passes through the room. This policy is the written form of that commitment, and it applies to every person who deals with LEADSENS TECHNOLOGIES LIMITED.
